02What we collect and why
| When | Data | Why | Legal basis |
|---|---|---|---|
| You create an account | Name, email, password (stored only in encrypted form: nobody can read it, not even us), billing address if you add it, date of creation | Give you access to your account, your orders and future members features; send you account emails (confirmation link, password reset) | Contract (terms of use of the account) |
| You fill in your artist profile (optional, TX-1 Lab leaderboard) | Artist name, Instagram username; if you ask for the “verified” badge, the private message you send us from your Instagram account; during TX-1 Lab contests, the scores of your mixes (index, timing precision, track titles of your best mix per pair of tracks) | Show your artist name and a link to your Instagram next to your scores on the TX-1 Lab leaderboard; check that the Instagram account is really yours before giving the badge | Consent (you choose to add them and can remove them at any time from your account) |
| You order a master | Name, email, billing address, order details, payment status (card details are handled by Stripe or PayPal and never reach us) | Process and deliver your order, send confirmation emails, invoicing | Contract; legal obligations (accounting) |
| You send your track | Artist name, track title, download link, message, name, email, order number | Carry out the mixing / mastering | Contract |

| You send a booking request | Name, email, artist requested, date, offer, message | Answer your request and organise the booking | Your request (pre-contractual steps) |
| You browse the website | Pages viewed and buttons clicked, approximate city and country, device type (mobile / desktop), a random identifier stored in your browser. Your IP address is shortened before it is stored (e.g. 86.245.12.34 becomes 86.245.12.0), so it no longer identifies you. | Our own visit statistics, to understand which pages and campaigns work | Legitimate interest |
| You browse the website | Cookies and identifiers from Google Tag Manager and the Meta (Facebook) pixel | Measure the performance of our ads and our sales | Consent |
| You pay with PayPal | Signals about your browser and behaviour collected by Google reCAPTCHA | Prevent fraud and robots | Legitimate interest (security) |
Forms include an invisible anti-spam check; it does not collect additional personal data.
03Who receives your data
Your data is only accessible to the Teoxane team and to the service providers we need, each for its own part:
- IONOS (France / Germany): hosting of the website, the back-office and emails.
- Stripe (card payments) and PayPal (PayPal payments): they process your payment under their own privacy policies.
- Google: Tag Manager (statistics and ad measurement), reCAPTCHA (fraud prevention on PayPal payments), and Google Fonts (the website's typeface is loaded from Google's servers, which receive your IP address).
- Meta (Facebook / Instagram): pixel used to measure our ads.
- ip-api.com: converts the shortened IP address into an approximate city and country for our visit statistics.
- Spotify, YouTube, SoundCloud: when you play an embedded player on our pages, the platform receives data as if you visited it directly.
- The file transfer service you choose to send us your track (WeTransfer, Dropbox, Google Drive…).
We never sell or rent your data. Some of these providers may process data outside the European Union (mainly in the United States). These transfers rely on the guarantees provided by the GDPR (EU-US Data Privacy Framework or the European Commission's standard contractual clauses).
04How long we keep it
- Your account: until you delete it (you can do so at any time from your account, in Security). Accounts with no sign-in or order for 3 years are deleted after an email warning. An account whose email is never confirmed is deleted after 7 days.
- Orders and invoices: 10 years, as required by accounting rules.
- Your audio files: 30 days after delivery of your master.
- Track submission forms: for the duration of the service, then 3 years after our last exchange.
- Demos and booking requests: 3 years after our last exchange.
- Visit statistics: 13 months.
- Advertising cookies: 13 months maximum.
06Security
The website is served over HTTPS. Payments go through certified providers (Stripe, PayPal): we never see or store card details. Access to the back-office is restricted to the Teoxane team and protected by two-factor authentication and login attempt limits.
07Your rights
Under the GDPR and French law, you can at any time:
- access your data and get a copy of it;
- have it corrected or deleted;
- restrict or object to its use, including for statistics and advertising;
- withdraw your consent;
- receive the data you provided in a portable format;
- give instructions on what happens to your data after your death.
Write to studio@teoxaneproduction.com; we answer within one month. Some data must be kept for legal reasons (for example invoices). If you think your rights are not respected, you can file a complaint with the French data protection authority, the CNIL.
